Framing

Knowledge management refers to the systematisation of the knowledge and information available in an Organisation through a set of processes (creation, sharing, maintenance), that combined with human and technological resources, allows it to foster innovation and achieve organisational objectives.

All organisations create new knowledge. The creation of knowledge is a spiral process that, in order to be implemented, needs good internal communication to be guaranteed, that is, to ensure that all employees understand their role in the process. This process’ success is only possible with a positive organisational culture in relation to the generation, sharing, socialisation and transfer of knowledge.

Communication - inseparable from knowledge management - if well used, strengthens the organisation-employee relationship, increasing the motivation of the latter and the success of the former.

The documented information refers to information relevant to Galp that needs to be controlled, i.e. information created to support its activity (documents) or to provide evidence of results achieved (records). In the RSIG, the term “maintain documented information" refers to the documents and the term "retain documented information" refers to the records.

Practical Application

In order to comply with this RSIG macro category, Galp must:

Documented Information/Evidence

  • List of sources of knowledge and their respective values
  • Identification of those responsible for the information (knowledge) exchange flows
  • Communication plans (identification of what, who, when and how) according to different situations/scenarios
  • Internal communications relevant to Galp
  • Internal/external communications on people's health and safety
  • Communications in the context of compliance obligations: declarations, notifications, reports
  • External communications with interested parties
  • Galp institutional communication (For example: mygalp news, mygal info, mygalp magazine)
  • Nominal and functional organisation charts
  • Control of documented information (evidence of who edits, who approves, whom they are distributed to and ensuring that the documents in force are the ones being used)
    (For example: Business Process Management IT platform)
  • Company, sectorial or specific standards in force at Galp
